The ERP running
Papillon’s fleet in Los Cabos

Papillon, a charter and yacht rental operator in Cabo San Lucas, ran on WhatsApp, phone calls and spreadsheets. Today it runs on a 28-module ERP with 9 field views covering the sale, the dock, the office and the books. This page explains what was built and how.

Papillon is a charter and yacht rental operator in Cabo San Lucas. The functionality described is the real system they run their daily operation on.

Flagship system

One system, from
the sale to the P&L.

Built for a charter operator in Cabo San Lucas and running their whole business today — the sales floor, the marina, the boats, the office and the books.

01

The sale

A seller sends their own public booking link or a quote. The moment the client confirms, the reservation lands on the operational calendar with the boat, the slot and the capacity already reserved — so the same slot can't be sold twice.

02

The morning

One dashboard opens the day: departures, alerts, who's crewing what, what's still unpaid. Assignment boards cover nautical crew, office, photographers and transport — and a boat under maintenance or blocked simply stops being sellable.

03

The dock

Every field role gets its own view instead of a group chat. Captains log the trip, fuel, tips, requisitions and incidents from the boat. Drivers see their runs and talk to the captain. Crew see their assignments. Attendance is taken by an RFID and face kiosk running on a Raspberry Pi at the marina and the office — not on a signature sheet.

The money

Payments are taken at marina check-in, and the day closes with a daily cut the CEO confirms — no silent edits afterwards. Receivables are tracked per seller, agency and hotel with partial payments. Commissions for concierges and photographers are calculated, not remembered. Expenses are captured by photographing the ticket and letting AI read it, then routed for approval. Bank, Stripe and WeTravel balances reconcile against the books, and CFDIs are controlled where the SAT expects them.

05

The truth

Because the fuel a captain logged at the dock and the commission paid to a concierge both land against the same trip, the owner can finally see income and cost per boat, per sales channel, per period — and close the month knowing which hull earns and which one just looks busy.

Who this is for

Operations with crews,
assets and cash in the field.

If your business runs on people moving physical things on a schedule, the same backbone applies.

Charter & yacht tours

Fleet, crew, slots, agencies and concierge commissions — the exact shape this system was built for.

Sportfishing fleets

Boats, captains, bait and fuel per trip, tournament season peaks, split payouts.

Tour & transport operators

Vehicles, drivers, pickup points, hotel pickups and OTA channels in one dispatch view.

Marinas & multi-service

Several revenue lines, shared staff and equipment, one set of books that has to close.
